Getting started

Leader Compliance shares the same sign-in as Camp Planner, Quartermaster and Hall Manager — if you already use any of them, signing in here needs no separate account. There's no API for the UK Scouts membership system, so a small browser extension reads your hierarchy from inside your own signed-in session there instead. It's on the Chrome Web Store — click Add to Chrome and you're set. (A manual install option is also available on the extension page if the Store is blocked on a managed device.)

If you have more than one group

Most people only ever set one up, so if you belong to a single group you go straight into it when you sign in — no list to pick from. If you belong to two or more, you get the list and choose.

To add another group (a second section that keeps its own records, or a District you also help with), click ← All groups at the top of the Leaders page. That takes you to the full list, where a New group button sits in the top right. The list also appears on its own once you belong to more than one, so you only need that link the first time.

Being invited to someone else's group counts too — accept the invitation and you'll start seeing the list, with both groups on it.

Running a sync

With the extension installed and membership.scouts.org.uk open and signed in somewhere in your browser, you can sync two ways: click the extension's own icon and hit Sync now, or — without opening the extension at all — click Sync now on the Sync page here (it mints a one-time key and hands it to the extension automatically, so you never see or manage one). Both do exactly the same work.

Choosing a sync scope

Before syncing, pick how much of your hierarchy to pull in: just your own section/pack, your whole Group, or your whole District. Each choice means that unit and everything beneath it — picking your Group also brings in all its sections. The extension only offers the scopes your account actually has access to, so if you don't hold a District-level role that option simply won't appear.

Scope is the main thing driving how long a sync takes. Every person costs a roles, training and DBS lookup, and every role they hold costs an approval-audit lookup on top — so a whole District can take several minutes and a few hundred people. Start small and widen it only if you need to, and leave the tab open while it runs.

Reading the dashboard

Each leader gets an overall red/amber/green badge, rolled up from their individual training modules and DBS status. Red means something's overdue or missing entirely; amber means due within 60 days; green means up to date. A training module with no expiry date (some are one-off, never needing renewal) is shown as permanently green rather than a gap. Filter by unit, or tick Needs attention only to see just red/amber leaders. You'll also get an email automatically if anyone in your synced hierarchy turns amber or red, so you don't have to keep checking back.

Roles, and who's still Provisional

Each leader shows every role they currently hold, with the unit and team it belongs to — so someone who is “Team Member” in three different sections shows as three distinct roles rather than one. Where a person holds more than one, the extra roles sit behind a small expander next to their name.

A Provisional badge appears next to anyone holding a role that isn't yet Full. If someone is Full in one appointment and Provisional in another, the badge deliberately shows Provisional — the point is to surface the appointment that still needs work, not to hide it behind an unrelated one. Expand the person to see which role it is.

Approval progress

Expanding a role also shows its approval audit: the checks an appointment has to clear before it becomes Full — references, the signed declaration, the welcome conversation, the confidential enquiry check, core learning, disclosure and data-protection training. Anything settled (“Satisfactory”, “Completed”) is shown quietly in green; anything still outstanding or not yet recorded stands out, so you can see at a glance what a new leader is still waiting on. Roles that have no audit — long-established appointments, mostly — simply don't show one.

Sorting and exporting

Sort the list by name, role, role status, DBS expiry, or the expiry of any individual training module — the module list is built from whatever your own hierarchy actually holds. People with no date recorded always sort to the bottom, in both directions, so an unrecorded DBS never buries a genuinely urgent one. Export CSV downloads exactly what's on screen — same filters, same sort — with one row per leader and a column per training module, ready to open in Excel.

Free vs paid

The free tier shows the first five leaders (alphabetically) of whatever you sync. Subscribing (£20/yr, same as the other three products) unlocks your whole hierarchy — a group with five or fewer leaders never sees this limit at all. Manage billing from your group's page on Camp Planner (only the group owner can subscribe).

Advanced: manual sync keys

Clicking Sync now on the Sync page generates and uses a one-time key automatically — you never see or manage one. A manual key is only needed if you'd rather trigger a sync from the extension's own toolbar icon instead: generate one under Sync's "Advanced" section and paste it into the extension's popup. Revoke a key any time to stop it working immediately.

Your data

What you sync is private to you — never shared with your Scout group or anyone else who signs in here. You can delete your synced snapshot at any time from the Sync page; the next sync just repopulates it. See the privacy notice for details on what's collected and how it's protected.
